coaching programs and communities

You sell the program. The hard part is everything after they pay.

Community access and 1:1 mentorship. A cohort. A membership people stay in. If you create courses and the offer includes you, or a community, this is the same work.

    who it's for

You already know which of these you are.

    • 1.You sell a program, and buyers get community access plus 1:1 mentorship.
    • 2.You run a cohort. People start together, and each one has check-ins on their own clock.
    • 3.You run a membership community. Someone joins, and every month the question is whether they're still in it.
    • 4.You create courses, and the course comes with access to you or to a group. The login is the easy part. The follow-up is the business.

    what I build

The system that connects the tools you already use, so onboarding and follow-up have one place to live.

Say someone pays on a Tuesday. Their onboarding is due that day. A check-in is due Thursday of week six. A call is on the calendar in week eight. The renewal conversation is at week twelve. Once there's a full roster, each person on their own clock, the next step lives in your head, or in a spreadsheet only you can read.

For a coaching program, we connected the tools they already used.

    • ✓Their Skool community, via Apify, and Telegram, so program onboarding is simple for new members.
    • ✓Calendly, so bookings flow into the system.
    • ✓AI call transcripts, kept in one place.
    • ✓A flag when a client is at risk, such as someone disengaging.
    • ✓Upsell metrics that spot members ready for the next tier or offer.
    • ✓A record for each person: where they are in the program, what they're owed, and what's due next.
    • ✓Onboarding that starts when they pay, with the steps written down.
    • ✓Follow-up when a check-in, a call, or a renewal is due.
    • ✓Applied-AI automations on that record: a member goes quiet, a call is coming up, a payment fails.
    • ✓Integrations with the tools you already run, including GoHighLevel, ClickUp, Skool, Telegram, and Calendly.

    a build in this shape

A coaching business, a spreadsheet, and two hundred people on their own clocks.

They were tracking client stages, check-ins, and renewals in a spreadsheet only the founder fully understood. Someone signs up in March. The week-six check-in is due in April, the upsell window opens in May, and the renewal comes around in September. The spreadsheet could say what had already happened to any one of them. It couldn't say what was due tomorrow.

We mapped every stage, trigger, and override, and built the client record so due work shows up on its own. Renewals and removals surfaced before they came around. The founder stopped being the system of record. Anyone on the team can open one place and see where a client actually stands.

    fifteen minutes

Walk me through one member, from the day they pay.

You tell me how the program actually runs, and which tools already hold it. I'll tell you whether connecting them is the right next step. If a cheaper setup covers it, I'll say so on this call.
